Requirements of Participants
All participants must have a horse or the shared use of one.                                                                                       Dana & Zoo
All Canadian participants must be covered under OEF insurance or similar covering property and personal damages.
No participant will be allowed to compete if they have been drinking or are under the influence of drugs.
We strongly urge everyone to wear an approved riding helmet while mounted; those under the age of 18 are required to do so by law. Costuming or garb is not mandatory, however it is highly encouraged.
Participants must provide their own bows, arrows, and blunts for arrows.
If you’re traveling from the states please get travel medical insurance or similar!

Qualifying to Compete
If a competitor is unknown to the event organizer or Field Marshal he/she must first demonstrate proper horse control at the walk, trot and canter, and then perform the following tests dependent on which events they have entered.
Mounted games or equestrian events: he/she must be able to canter safely while catching rings on a lance and spear a target.
Mounted Archery: participants must fire one arrow at a side target while riding at a canter in a safe and controlled fashion, with the horse remaining calm and manageable.

Should the rider be at risk to themselves or others while performing these tests, or the horse they are riding acts in an unmanageable or dangerous way the rider will not be approved to compete in these events.
Should Conclave organizers or the field Marshal at any time feel someone is at risk to themselves, their horse, or others they will be excused from the individual event.
Any horse unable to maintain gait with out the influence of another horse or rider will result in no score for that particular run or event.
Horse Rental
This year we are able to rent horses on a limited basis. Please let us know if you would like us to arrange something for you, the more notice we have the better the chances we can arrange something.

Event Costs
Registration for the Conclave is $100.00 per participant + horse; which includes entry into all applicable events, outdoor stabling, hay and camping from Friday May 20th to Monday the 23rd .
Young riders (those 20 and under) sharing a horse with a parent need only pay $60 to participate.
Participation in ground archery costs $35.00 to participate, the fee includes camping.
The Sunday pm BBQ, hosted by Uli and Dennis is an additional $12, payable prior to the BBQ in cash.
To organize certain facets of the Conclave we must have an idea of how many participants to expect,
participants must declare their intent to participate by sending a completed entry form to us by April 30th with
a non-refundable deposit equal to half of their registration fee.
Entry forms and deposits sent after this deadline will be subject to an additional surcharge. (See registration
form for details).
The balance of the registration and entry fee must be paid on upon arrival at the event in cash. No participant
will be allowed to participate if the fees have not been paid.

Horses and Stabling
For the Saturday and Sunday nights stabling outdoors in shared paddocks with hay is provided.
Extra nights stabling is $15.00 per night; indoor stabling is available at $30.00 per night. Horse owners are
responsible for providing all necessary tack, grooming equipment, grain and current health papers showing
current shots and immunization.
Unfortunately we don’t have the facilities to accommodate unknown stallions.
All participating horses must be covered under OEF insurance or similar covering property and personal
damages. This insurance is available with OEF membership.                                                                                                  Stephanie & Max
Horse owners should be aware that although no West Nile cases (in horses or humans) have been reported
in our area mosquitoes are prevalent.

Conclave Schedule
Depending on the amount of entries and/or weather concerns the schedule may change.
Each morning and after each lunch break we will hold a quick competitors meeting to run through any changes in the proceeding events.

                              International Jousting League 
                                      (Formally the European Jousting League) 
                                      Pending approval of the International Jousting League (IJL) this event will be affiliated with this organization                   
                                      as Era events have been in past years.
                                      The IJL was formed in 2004 for people interested in jousting and mounted games as outlet to exchange their ideas and                                         experiences as well as an information network and support system regarding tournaments held world-wide. 2009                                       they broadened their scope to include mounted archery.
                                     Although we don’t require participants of the Conclave to become IJL members we highly recommend it! Membership is                                      free, you have opportunities to win IJL awards, and your scores are sent to the league and ranked against other members                                      worldwide.

                                    Mounted Archery Association of the Americas (MA3) 
                                             
Six of the 7 mounted archery courses in the Mounted Archery Division will be run as formal MA3 competitions                                              following the rules as laid out by MA3.
                                             We do not require participants to be members of the association but we highly recommend it if you have an interest in                                              mounted archery.
                                             MA3 was launched in February of 2007 to support mounted archery and the people involved in it. The association                                              promotes education and promotion of this emerging horse sport and traditional archery pursuit. Please visit the website for                                              more information on mounted archery, the association’s mandate and goals and to receive a membership form.
Code of Behavior
Participants will be mindful and respectful of others attending the Conclave, the property of Sandheide Farm and the safety codes as laid out by the tournament organizer and Field Marshal. We wish this to be a fun weekend for all; however we will dismiss anyone from the Conclave, without refund, for any unsafe, inappropriate or disruptive behavior.

Other
This is to be a private event run for the pure enjoyment of getting together with other like-minded people. We will not be publicizing the event for spectators.
We have no objection to participants bringing friends or family members to the event however we would like this kept at a minimum to avoid any problems, if you bring a guest they are your responsibility. Dogs not owned by Sandheide Farm or its boarders should be left at home.
Guests of participants will need to pay $12.00 if they wish to join the BBQ and $10.00 if they choose to camp. Please inform us if you are bringing a guest.
The Location
Sandheide Farm, the event site is owned and operated by Uli Barda-Hare and Dennis Hare as a boarding and lesson stable west of Simcoe Ont. Without such a great site and their support we wouldn't be able to hold such a great event!

Camping is provided at Sandheide Farm, though it would be considered “primitive” as there are porta-johns, but no showers or electrical hook-ups.
